Who this policy covers
This Privacy Policy explains how Molixent collects, uses, shares, retains and protects personal data when you visit molixent.com, contact us, create or use an account, act for a Customer or participate in a freight movement coordinated through the platform.
The Molixent entity identified in your organisation’s quote, order form, invoice or other contracting document is responsible for personal data processed for its own purposes. Before a contract exists, the operator of molixent.com is responsible for website, registration and enquiry data. Contact business@molixent.com if you need the applicable entity details.
An organisation using Molixent may separately control personal data it enters about employees, customers, consignees, suppliers and other contacts. In those situations, contact that organisation first about its instructions or privacy practices; Molixent may process the data on its behalf under a services agreement.

03
Where data comes from
We collect personal data from:
- you when you register, sign in, submit forms or contact us;
- your organisation and its authorised users when they invite or manage team members and shipment contacts;
- carriers, brokers, warehouses, payment providers and other parties participating in an agreed shipment or support request;
- devices, browsers and security systems when the Services are used; and
- public or official sources where verification is authorised and reasonably necessary.
If you provide another person’s data, you must have authority to do so and give them any notice required by applicable law.
04
Why we use personal data
- create, verify, secure and administer accounts and memberships;
- review company-verification information and preserve submitted evidence and decisions;
- respond to enquiries and coordinate quotes, bookings, pickup, movement, tracking, documents, exceptions, billing and support;
- communicate service, security, document, payment and account notices;
- prevent fraud, misuse, unauthorised access and cross-organisation data exposure;
- maintain audit records, investigate incidents, resolve disputes and enforce agreements;
- comply with tax, customs, sanctions, transport, corporate, accounting and other legal obligations; and
- measure and improve website reliability and usability when optional analytics is enabled.
Molixent does not sell personal data and does not use it for third-party behavioural advertising.
05
Legal grounds for processing
The legal ground depends on the activity and applicable law. Molixent processes personal data where it is necessary to enter into or perform a contract; comply with legal obligations; protect users, systems and legal rights; pursue legitimate business interests that are not overridden by individual rights; act on a Customer’s documented instructions; or where you have given valid consent.
Examples of legitimate interests include securing the platform, preventing fraud, administering business accounts, maintaining service records and improving reliability. Where processing relies on consent, you may withdraw it for future processing without affecting earlier lawful processing. Some data remains necessary to provide an account or agreed service.
06
How personal data is shared
We share data only where reasonably necessary with:
- authorised users in the relevant Customer organisation, subject to role and record scope;
- carriers, brokers, warehouses, consignees and other operational parties needed for an agreed shipment;
- hosting, database, storage, communications, analytics, security, support and payment service providers acting under contractual or legal obligations;
- professional advisers, auditors and insurers where confidentiality safeguards apply;
- regulators, courts, law enforcement or public authorities where disclosure is legally required or needed to protect rights and safety;
- a buyer, investor or successor in a genuine corporate transaction, subject to appropriate confidentiality and continued protection.
Molixent does not disclose one Customer’s shipment, commercial or company data to another Customer. Service providers may use data only for the contracted service or as independently required by law.
07
International processing
Molixent supports domestic and international freight, and its technology and service providers may process data in countries other than the one where it was collected. Shipment data may also need to be sent to parties in origin, transit and destination countries.
Where applicable law requires transfer safeguards, Molixent uses an available lawful mechanism such as contractual protections, approved transfer terms, adequacy arrangements or another permitted safeguard. Operational disclosures required for an international shipment remain limited to what is reasonably necessary for that movement and legal compliance.
08
How long data is retained
Molixent keeps personal data only for as long as needed for the purposes described in this policy. Retention is determined by account and service status, contractual commitments, tax and accounting requirements, customs and transport records, security and fraud prevention, claim and limitation periods, audit integrity, legal holds and applicable law.
Different records therefore have different periods. Submitted company verification evidence, shipment documents, invoices, immutable decisions and audit records may need to be preserved after an account closes. Temporary authentication challenges and upload links expire much sooner. When retention is no longer justified, data is deleted, anonymised or isolated from ordinary use in accordance with approved procedures.
09
Security and confidentiality
Molixent uses layered administrative, technical and organisational safeguards appropriate to the nature of the data. These include role-based and record-scoped access, multi-factor and step-up controls, encrypted transport, protection of sensitive stored values, private document access, session management, audit trails, monitoring and controlled service-provider access.
No method of storage or transmission is completely secure. Customers must use individual accounts, secure their devices and credentials, review team access and promptly report suspected compromise. Molixent investigates qualifying incidents and provides legally required notices to affected parties and authorities.
10
Your privacy rights
Depending on where you live and how Molixent processes your data, you may have rights to receive information about processing; access personal data; correct, complete or update it; request erasure; restrict or object to processing; withdraw consent; receive portable data; nominate another person where applicable; and raise a grievance or complaint with a competent authority.
Rights are not absolute. Molixent may need to verify identity and authority, protect another person’s information, preserve legally required records or decline a request where law permits. If your data was supplied and controlled by your employer or another Customer, Molixent may direct the request to that organisation or assist it in responding.
Submit a request through the Contact Us page or email business@molixent.com with “Privacy request” in the subject. Molixent will respond within the period required by applicable law.
11
Your choices
Account and service messages
Security, verification, shipment, document, billing and support communications are necessary for the requested service and cannot always be disabled while the service remains active.
Optional analytics
Molixent’s current website analytics is cookieless and optional. You can enable or disable it at any time from Cookie Settings. Disabling it stops future analytics collection from this browser.
Browser controls
You may clear browser storage or block cookies in your browser. Blocking strictly necessary session or security cookies will prevent sign-in and protected account features from working.
12
Automated processing
Molixent may use automated checks to validate form completeness, detect security risks, enforce permissions, identify expired records or route operational work. The current platform does not make a solely automated final decision to approve or reject company verification. Authorised reviewers make and record those decisions. If Molixent later introduces automated decision-making that has a legal or similarly significant effect, this policy and any required notice will explain the logic, consequences and available safeguards.
13
Children’s data
The Services are designed for businesses and authorised adult users, not children. Do not create an account or submit shipment-contact information if you are not legally able to do so. If Molixent learns that a child’s data was collected without appropriate authority, it will take reasonable steps to restrict and delete it, subject to legal retention requirements.
14
Policy changes and privacy contact
Molixent may update this policy when services, providers, security practices or legal requirements change. The page will show the new effective date. Material changes will be brought to your attention through the platform, email or another reasonable method where required.
For questions, rights requests or grievances, contact Molixent through the Contact Us page, email business@molixent.com or call +91 82875 73850. Include enough information to identify your relationship with Molixent, but do not email passwords, authentication codes, full identity numbers or confidential shipment documents.
You may also complain to the privacy or data-protection authority with jurisdiction over you. Molixent asks that you first allow its privacy and grievance contact a reasonable opportunity to address the concern.
For account-specific or shipment-specific questions, contact the Molixent team before relying on a general policy statement.
